RESIDENTIAL PROJECTS
A Process Tailored to Your Home Refurbishment Needs
At PAINTFORME, we’ve developed a transparent and efficient process to ensure your residential project runs smoothly from start to finish. Here’s how it works:
1. Initial Contact
Reach out to us via email or call. We request your full name, email, and property address to begin. If these details aren’t provided, we typically cannot proceed further. Once we have this information, we’ll send you a questionnaire and ask for:
- A floor plan of the property.
- Photos of the rooms included in the refurbishment.
- Works description
2. Information Review
After receiving all required details, we carefully review the information. If needed, we’ll ask additional questions or provide tailored recommendations. For larger-scale projects we will offer free Project Consultation, and for properties in significant disrepair we will recommend our Property Assessment service, a paid evaluation that offers valuable insights for planning.
3. Estimate and Quotation
Once all details are reviewed and analysed, we prepare a labour cost estimate. After confirming that it aligns with your budget, we provide a detailed written quotation outlining labour and material costs.
- If you’re interested in our flexible payment options, please inform us early to ensure they’re integrated into the process.
4. Contract Preparation
Upon approval, we email a formal contract for works, protecting all parties involved. If the property hasn’t been assessed in person (e.g., using online photos/videos), we agree to perform a quick property assessment on the start date to confirm everything matches the provided details. If adjustments are needed, we discuss them with you first.
5. Project Planning and Execution
Before starting, we collaborate with you to plan the work schedule. During the project:
- We keep you updated on progress.
- For larger projects or those using flexible payments, invoices will be issued upon milestone completion or at agreed intervals.
6. Completion and Snagging
Once the project is complete:
- We meet with you (and your interior designer, if applicable) to inspect the work and address snagging.
- Any snagging required due to other trades (e.g., repositioning lights or surface damage) will be charged hourly and added to the final bill.
Clients can request additional changes at any time, provided payment is made for extra work completed.
7. Final Invoice and Guarantee
After completion, we email the final invoice. Most projects include a minimum two-year workmanship guarantee, excluding wear and tear. Towards the end of this period, we’ll check in with you to ensure everything is in good condition or arrange a visit if needed.
Please note: Previously mouldy or wet areas and substantial cracks are generally not covered under the guarantee, but we will inform you of exclusions upfront.

COMMERCIAL PROJECTS

1. Initial Contact and Project Discussion
We begin by gathering essential details, including your company information and property address. After understanding the scope of your project, we’ll:
- Schedule a site visit for most commercial or educational properties to discuss requirements in person.
- Send a questionnaire (if applicable) to collect/confirm further details.
2. Estimate and Contract
Following the site visit and project discussion, we prepare:
- A detailed labour and materials estimate tailored to your needs.
- A formal contract for works.
- Risk Assessment and Method Statement (RAMS) to ensure compliance with safety standards.
3. Project Start and Updates
Once the contract is signed and the deposit is received, we begin work on the agreed date and time. Throughout the project:
- Regular updates will be provided to keep you informed of progress.
- For commercial projects, we require regular payments as agreed in the contract.
Please Note: We do not extend credit for commercial projects. Full payment is required upon completion or before. Educational institutions are an exception, as payments are typically made in full within 30 days of completion.
4. Completion and Guarantee
Upon project completion, we review the work to ensure it meets our standards and your satisfaction. All commercial projects are covered by a 12-month workmanship guarantee, providing peace of mind.
